Arrival and Departure

Check-in is from 3pm and check-out by 11am.

Early check-ins between 12:30pm until 1:30pm have an extra cost of £10, however it is subject to availability. Late check out from 11am until 1 pm (maximum) costs £20 per hour, subject to availability. Please contact the hotel directly in advance and we will be able to advise you. You are more than welcome to leave your luggage at the hotel and park your car in the car park if you come before check-in time.

Parking

We have a first-come, first-served car park with limited spaces. Parking is charged at £9 per day from check-in time to check-out time. Free parking is available on Sundays and bank holidays only. Owners of blue badge can contact the hotel for prearrangements.

 

Breakfast

Breakfast is served 7am – 9am Monday to Friday and 8am – 10am Saturday, Sunday and bank holiday.

At Victoria Square Hotel we are a small independently owned business that seeks local ingredients with great care. For us to continue to serve these ingredients in a sustainable way, we operate a time slot pre-booking policy, and pre-orders are encouraged.

Alternatively, the forms can be filled in upon check-in. Guests without a confirmed reservation, or who miss their time slot, are not guaranteed entry to the Restaurant. Reservations without food pre-order will be subject to up to an approx. 25-minute wait time from the point of order.

Pets

We are a pet-friendly hotel and are pleased to welcome guests travelling with their dogs; however, pets are permitted only under the conditions set out below.

Pets are not allowed in Single Rooms for safety reasons; therefore, guests travelling with pets who have booked a Single Room will be required to upgrade to a suitable room category.

A maximum of one dog is permitted in a Small Double Room.

In a Standard Double Room, a maximum of 1 dog is permitted, or alternatively up to 2 small dogs.

In a Large Double Room, a maximum of 2 dogs is permitted.

A charge of £10 per pet, per night, will apply to all bookings with pets.

Dogs are not permitted in the restaurant at any time.

The hotel reserves the right to refuse entry to any pet that is not well behaved or that may cause disturbance, damage, or safety concerns to other guests or staff.

Pets must not be left unattended in guest rooms under any circumstances and must remain under the control of the owner at all times while on hotel premises. Failure to comply with this rule may result in the booking being terminated without refund, and the hotel reserves the right to apply additional charges or fines in the event of repeated complaints from other guests or any disturbance caused by the pet.

Guests wishing to stay with a pet are advised to make a standard reservation and contact the hotel directly after booking in order to ensure that a suitable pet-friendly room can be allocated.

However, if you've booked a breakfast-inclusive rate, you can enjoy your meal with your pet in the adjacent bar area. 

 

Security Deposit

Upon arrival at the hotel, a deposit for any incidental charges during the stay will be required before check-in. The deposit amount ranges from a minimum of £1.00 up to a maximum of £200.00 and may be taken by credit/debit card pre-authorisation or cash.

Where a card is provided, the hotel will take a pre-authorisation (holding deposit) on the card at check-in. This is not a charge but a temporary hold on the funds. The held amount will be released at check-out, subject to no damages, smoking, or outstanding charges. Please note that it may take several working days for the bank to release the funds back into the account.

If a guest wishes to pay using Apple Pay or Google Pay and a physical card is not present, the hotel will require a £50 deposit per room. This deposit will be refunded at check-out; however, it may take a few working days for the funds to return to the guest’s account depending on the bank.

If the deposit is paid in cash, it will be returned on departure from the hotel. Please note that the cash deposit can only be returned to the person who signed the registration card, and a matching signature will be required when collecting the cash.

If a guest refuses to provide card details or a deposit (either by card or cash), the hotel reserves the right to refuse check-in or request the guest to leave the premises.

The hotel reserves the right to use the deposit to cover the cost of any accidental or intentional damage to the room or any part of the hotel premises, or to cover the cost of any deep cleaning required due to the actions of the occupant, including smoking.

Best Flexible Rate

Booking via our website or hotel: “Best Flexible” reservations for any future arrival date can be changed or canceled at no charge by 12 noon one day prior to the arrival date.

 our debit or credit card details will be used to guarantee your booking against a late cancellation or a non-arrival. In the event of a late cancellation or a non-arrival, payment will be due for the first night and the subsequent nights of the reservation will be canceled.

Unless alternative payment arrangements have been made for flexible rate bookings, guests are required to provide a valid credit or debit card at check-in, which will be charged for the full room charges.

Guests who wish to settle their account by cash may do so, and the amount for the stay will be charged in full at the time of arrival. Please bear in mind that a deposit in cash is required if this payment method is preferred.

Victoria Square Hotel reserves the right to charge the imprinted credit card for any outstanding balances not settled in full on departure. The hotel reserves the right to pre-authorize the card provided with the booking up to the full reservation amount prior to arrival.

Pre-Paid Rate

Please be advised that bookings made as advance purchase rates are non-refundable and non-transferable. Should we not be able to take the payment on the card provided, your booking may be canceled without further notice.

Booking via a third party

 For bookings made through an online booking platform (e.g., Booking.com, Expedia) or third-party travel professionals, please contact them directly for their terms and conditions.

We have advised these companies of our cancellation policies.

 Amended bookings are subject to availability and the prevailing rate will apply. Any amended bookings are subject to new booking terms and conditions.

Group Bookings and Long Stays

 When booking 5 rooms or more or 5 nights or more, different policies will apply. Please contact our Reception on 0117 973 9058 for details.

 In case of bookings made for 5 nights or more online, the card supplied may be pre-authorized before arrival for 50% of the full room charges.

Children and Extra Bedding

Extra beds and cribs must be booked in advance of arrival. Please contact reception.

The cost of an extra bed is £20 per night per bed and cribs are supplied free of charge.

Not all room types can accommodate extra beds or cribs, so please be aware that you may need to upgrade to a larger room.

Children under the age of 2 stay for free. Children aged between 2 and 12 can stay for free when sharing their parents' existing bed. Children aged 2 to 12 requiring an extra bed will be charged as per the cost above.

 Underage guests are non-permitted to stay in the Hotel, unless they share the room with a parent or an overage friend.

Accessibility

Please note that there is no lift at the hotel due to its buildings being listed. If you require a room on a lower floor, please contact us in advance to arrange this.

Damage and Misdemeanor

 The Victoria Square Hotel places great emphasis on providing a pleasant and safe environment for its guests and staff. As such, we reserve the right to ask any guest who is abusive, threatening or offensive to our guests or staff to leave the hotel immediately and will incur any relevant early departure charges. We reserve the right to invoice our guests for damage or negligent soiling caused to any parts of our premises; accidental or otherwise. Failing to tell us about damage to our property will result in the costs being taken from the credit card used to secure the booking or pay for the stay.

Smoking

In keeping with the global initiative and while adhering to applicable laws, rules and regulations, Victoria Square Hotel continually strives to provide a smoke-free environment for all our guests, visitors and employees.

This smoke free environment is to be maintained, and hence smoking is strictly prohibited in the entire hotel. This includes guest rooms, corridors, bars and lavatories. The no smoking policy also applies to guests visiting our meeting facilities. Those not complying with the smoke-free law will be committing an offense against the law. The fixed penalty notice applicable on the person smoking is £100.

We kindly request you to respect the law and abstain from smoking in the hotel.

 

Photo ID Requirement

For walk-in reservations and for accommodation payments made in cash, a copy of the photo ID will be required. Any guest who is a British citizen can provide a valid driver's License (UK & EU License only) or any other ID type with a guest photo.

Guests checking in from any of the European Union countries must provide either the ID card, passport or EU driver's license upon check-in. Guests who are not from the UK or any of the EU countries can only provide a passport as a valid photo-ID.

 

Lost Property

To ensure a pleasant experience for everyone, we would like to inform you about our Lost and Found policy.

 1. Personal Items Responsibility
    - Victoria Square Hotel is not responsible for any damage or loss of personal items during your stay.

2. Lost Property Log
    - If any of your belongings are found, our diligent housekeeping team will promptly add them to our Lost Property Log.

3. Notification Process
    - Housekeepers will notify the reception immediately upon discovering any lost item after a guest's departure.
    - We will make every effort to contact you as soon as possible to inform you about the found item.

4. Guest Response
    - We kindly request guests to contact the hotel within one month of their departure if they believe they have left something behind.

5. Item Collection
    - Upon notification, guests are encouraged to collect their lost items directly from the reception.
    - Please respond promptly to our notifications to ensure the safe return of your belongings.

6. Disposal After One Month
    - If a guest does not respond within one month of notification, the hotel reserves the right to dispose of the unclaimed item.

7. Prompt Communication
    - We understand the importance of your belongings and strive to promptly communicate any found items to the respective guests.

8. Proactive Housekeeping
    - Our housekeeping team diligently checks and reports any found items immediately after guests vacate their rooms.
